Overview
Wincanton is looking for an Executive Assistant (6 Month FTC) to join Wincanton's team. The EA roles are responsible for looking after the administrative requirements across the business. The team should be flexible to provide support where needed. Reporting to the Manager / Executive Assistant, these roles sit within the Secretariat team and offer excellent exposure to key stakeholders across the Senior Management Group and externally.
This role is homebased with the requirement to travel approximately 3 times per month.
How will you contribute?
- Operating as part of the administrative pool of resource, providing flexible support where needed to the Senior Management Group.
- Proactive management of multiple diaries with an ability to balance competing priorities and daily demands.
- Arrangement of meetings and travel/accommodation, drawing up itineraries and sourcing venues.
- Liaison with customers/clients to organise meetings and events.
- Arranging sector or group conferences, leadership events and coordinating other dinners, awards, or networking events.
- Preparation of reports and presentations for use with customers or during internal meetings.
- Administration in support of the SMG, expenses management, new starter onboarding and induction planning, meeting set up and travel.
- Ensure functional deadlines are met for key corporate activities.
- Specific functional administrative tasks, including (but not limited to); use of contractors/agency staff; supplier management and raising of purchase orders, invoice processing and control.
- Some travel and overnight stays to support meetings or events across the country.
- Efficient use and management of cash resources e.g. budgets for events.
- Manage the provision of confidential and sensitive information to and from key stakeholders.

- Demonstratable experience of providing administrative support to Senior Management in a fast-paced environment.
- Flexible and agile to provide top class support whilst having the ability to remain calm.
- A forward looking, proactive, highly organised approach.
- Ability to multitask and prioritise an everchanging workload.
- Strong communications skills, both written and verbal.
- Ability to build relationships at all levels across the business and with external contacts.
- Detail focused.
- Knowledge and experience of Microsoft O365 products including - PowerPoint, Planner, Forms, Teams, OneDrive, Word and Excel.
